GigPrism Terms and Conditions

Privacy Policy: Privacy Policy

1. About these terms

These terms govern your use of GigPrism, its related subscription services and reports. “We,” “us” and “our” mean the operator identified above. “You” means the person using the service. Review these terms before registering or purchasing a subscription. The Privacy Policy describes personal-information handling; accepting these terms does not waive privacy rights or replace consent required by law.

You must be at least 18 and have legal capacity to enter this agreement. If you use GigPrism on behalf of a business, you must be authorized to do so. GigPrism is intended for adult gig workers, not children.

2. What GigPrism does

GigPrism organizes income, tips, bonuses, expenses, receipt attachments and manually recorded business mileage. It produces summaries and exports based on the records supplied. Certain plans offer supported earnings-statement imports, additional reports and Google Drive backups. It is not a bank, payment processor, accounting firm, tax adviser, tax-filing service or delivery platform. The current app does not automatically track GPS routes or connect to your bank account.

You must check entered and imported amounts, dates, currencies and gig assignments. Import formats can change, and duplicate checks cannot identify every possible overlap. Retain your original statements and receipts. Reports do not establish tax deductibility, replace professional advice, or guarantee compliance with a revenue authority's recordkeeping requirements. Currency selection is not an exchange-rate conversion service.

3. Accounts and access

Provide accurate account information and protect your device and sign-in credentials. Do not share credentials, impersonate others, bypass subscription checks or use another person's purchase. Tell us promptly if you suspect unauthorized access. Account authentication may rely on Google or another sign-in method actually offered in the app. Availability of a third-party provider is not guaranteed.

Local workspaces and purchase access are associated with your app account. Signing out does not delete or back up your data. Signing in on another device does not automatically copy local records to that device. Restoring a subscription restores eligible access, not financial records or receipts. A purchase associated with one GigPrism account is not automatically transferable to another.

Your country and bookkeeping currency are fixed after account setup. If you move and need to record work under a different country or currency, create a separate GigPrism account. This does not convert, merge or transfer existing records. Keep the original account and independent backups for access to its records and reports. Paid subscriptions do not automatically transfer between accounts; manage the original subscription renewal separately through Google Play.

4. Plans

Free provides one active gig, a monthly summary PDF and local backup and restore. Plus provides one active gig with the additional reporting, supported statement import and Google Drive backup features shown at purchase. Premium allows multiple gigs and includes Plus features. Current supported features and limits are described in the app. A free plan is not a promise of indefinite storage or availability.

Before a Premium downgrade, select the gig to keep active where the app offers that choice. Downgrading does not itself erase the other locally stored gig records. Access to editing or advanced features may be restricted by the new plan; available local backup/export options remain subject to the app's supported functionality. If cancellation occurs directly in Google Play without a saved choice, you may need to choose a gig when you return.

5. Payments and renewal

Android subscriptions are sold through Google Play. Before confirmation, Google Play displays the price, currency, billing interval, applicable taxes and purchase terms. The price shown at checkout controls. We do not receive your full payment-card details. Monthly subscriptions renew automatically unless renewal is canceled through Google Play before its renewal deadline. Uninstalling the app or signing out does not cancel renewal.

Free-to-paid access starts after payment completes and the purchase is verified. Pending or unsuccessful payments do not activate paid access. Plus-to-Premium upgrades take effect immediately after verification using Google's full-price replacement mode. Google Play determines any remaining-time credit and resulting billing date; this credit is not a cash refund. Premium-to-Plus switches take effect at the next renewal as confirmed by Google Play.

Switching to Free means canceling future renewal. Paid access normally continues until the current paid period ends, then Free limits apply. The app may show the last verified access-end date; Google Play is authoritative for the current renewal and cancellation status. Caching, connectivity and verification failures can temporarily affect displayed access. Use Restore purchases and contact support if access is incorrect.

We do not offer prorated refunds for voluntary cancellation or unused portions of a paid period, except where required by applicable law or Google Play policies. This does not restrict statutory rights, store refund decisions, chargeback rights or remedies for defective services. A refund, revocation, payment hold or other billing-state change may affect access earlier. Request store-managed refunds through Google Play; contact us if assistance is needed.

Any future price or material subscription changes will follow applicable notice, consent and Google Play requirements. We will not treat these terms as blanket authorization for undisclosed charges.

6. Your records and permissions

You retain ownership of the records and attachments you provide. You give us only the permissions reasonably necessary to operate the functions you request, provide support and meet legal obligations. You must have authority to store and share information about other people. Avoid unnecessary sensitive information in receipt images, notes and support messages.

Do not use the service unlawfully, upload malicious files, interfere with security, resell access without permission, or copy protected software except as permitted by law. These restrictions do not limit rights that applicable law makes non-waivable.

7. Local storage, backups and exports

Income, expense, trip and receipt records are stored primarily in the app's local workspace on your device. Account and subscription information is processed separately by our backend and providers. Local storage is not an automatic cloud synchronization service. Device loss, uninstalling, clearing app storage, damaged files or a failed restore may make records unavailable.

You are responsible for keeping independent copies needed for your business. Check that backups complete, are readable and can be restored. Scheduled backups, where available, may be delayed by connectivity, Android battery restrictions, permissions or storage limits. Connecting Google Drive alone does not guarantee that a backup exists.

Complete backup archives support app recovery; receipt ZIP exports and report PDFs serve different purposes and are not complete recovery backups. App-exported archives are not password-protected or encrypted by GigPrism. Protect the destination, device and sharing permissions. A provider may separately encrypt its storage; that does not make the exported file encrypted by the app.

Restoring a backup can replace local records after the app's confirmation steps. Preserve a current backup first. Existing exports, emailed reports and Drive copies are not automatically changed when you edit or delete a local record. Older backups may retain the former GigLedger name or file extension.

8. Third-party services

Google Play, Firebase/Google Cloud, Google Drive and any email or file-storage provider you choose operate under their own applicable terms and privacy notices. You authorize the transfers needed for a feature when you use it. Review recipients and attachments before sending a report. We cannot recall a file another recipient has received or guarantee third-party availability.

GigPrism is not affiliated with or endorsed by delivery platforms merely because their names or statement formats are supported. Third-party trademarks belong to their owners.

9. Account deletion and ending use

Request account and associated-data deletion through Help → Account Profile → Delete my account or contact gigprism@gmail.com. The in-app path requires recent sign-in and typed confirmation. See our account deletion page. We will reasonably verify ownership without asking for your password or payment-card details. We will explain the effect of deletion and any legally justified retention.

Receipt attachments have a default two-year retention period, adjustable in Help → Receipt retention. The app stores expiry reminders at six months, three months, one month and one week before cleanup. Existing receipts receive a six-month initial protection period, as do receipts when the period is changed. Device restrictions may delay checks; a late final notice postpones cleanup by at least seven days. Cleanup preserves the financial entries and does not remove independent exports or Drive backups. Preserve separate copies for as long as you need them.

Export records before deletion if you need them. Deletion must remove the account and associated information under our control, subject to narrow lawful retention needs. Removing the account is separate from removing local workspaces on other/offline devices and user-controlled Drive backups, downloaded files or reports held by recipients; the deletion instructions will explain those steps. Signing out or uninstalling alone is not an account-deletion request.

Do not assume deletion cancels Google Play billing. Manage renewal in Google Play and contact support if you cannot do so; requesting deletion must not be blocked solely because a paid period remains. Deletion can prevent subsequent access to an account-bound purchase, and we will explain this before completing it. Deletion does not erase records Google must retain independently.

We may restrict service for material misuse, fraud, legal obligations or serious security risks. Where appropriate and lawful, we will explain the restriction and provide a way to contact us. Suspension does not remove mandatory consumer remedies or permit charging contrary to store rules.

10. Availability and liability

We use reasonable care in operating GigPrism, but cannot promise uninterrupted service, error-free imports, guaranteed backup completion or suitability for every tax or business purpose. To the extent permitted by law, the service is provided as available without additional implied warranties. No clause excludes any mandatory warranty or duty of reasonable care that cannot legally be excluded.

To the extent permitted by applicable law, we are not responsible for indirect or consequential losses resulting from circumstances beyond our reasonable control. Nothing excludes liability for fraud, wilful misconduct, gross negligence where exclusion is prohibited, or any other non-excludable liability. Your responsibility to verify and back up records does not release us from legal duties.

11. Intellectual property

We or our licensors own the app software, branding and other service materials. We grant you a limited, non-exclusive right to use the app for its intended purposes while you comply with these terms. This does not transfer ownership of the app or your content. Open-source components remain subject to their respective licences.

12. Changes and disputes

We will make updated terms available and identify the effective date. Material changes will be brought to your attention with notice and consent where required. Changes do not retroactively remove accrued rights. If you do not agree, you may stop using the service, cancel renewal and request deletion; mandatory rights remain intact.

Contact gigprism@gmail.com to try to resolve concerns. These terms are governed by Alberta, Canada, subject to mandatory protections and any right to bring a claim in your home jurisdiction. These terms do not impose mandatory arbitration or a class-action waiver. If a provision is unenforceable, the rest applies to the extent lawful. No failure to enforce a provision is a permanent waiver.
